Privacy Policy
Last updated: September 2026
Vance Media Ltd (“we”, “us”, or “our”) operates the website https://vancemedia.net (the “Site”). This Privacy Policy explains what personal information we collect when you use our Site, how we use it, and what rights you have over it.
We are committed to protecting your privacy in accordance with the Nigeria Data Protection Regulation (NDPR) 2019 and, where applicable to international visitors, the UK General Data Protection Regulation (UK GDPR) and EU GDPR.
1. Who We Are
Vance Media Ltd is a social media marketing and Instagram distribution network based in Abuja, Nigeria, registered with the Corporate Affairs Commission (CAC). We are the data controller for the personal information collected through this Site. You can contact us at enquiries@vancemedia.net.
2. What Information We Collect
Contact form data
We collect information you voluntarily provide when you submit our contact form. This includes your name, email address, company or brand name (optional), services of interest (optional), and your message.
Anonymous site analytics
We use privacy-friendly, cookieless analytics tools (such as Vercel Analytics or Umami) to understand how visitors interact with this Site in aggregate. This may include data such as page views, referral source, country or region, device type, and browser type.
These tools do not set cookies, do not store your IP address, and cannot identify you as an individual. The data collected is statistical and anonymised — it tells us that “200 people visited the Services page this week” but not who those people are. No consent is required for this type of analytics under NDPR or GDPR because it does not constitute personal data.
What we do not collect
We do not set tracking cookies, store device identifiers, build individual user profiles, or track you across other websites.
3. Why We Collect Your Information (Legal Basis)
We collect your information solely to respond to your business inquiry. Our legal basis for processing is legitimate interest — we have a genuine business interest in communicating with prospective clients who contact us, and this interest is not overridden by your rights.
We do not:
- Add you to any mailing list or newsletter
- Use your information for marketing purposes
- Share your information with third parties for their own use
- Make automated decisions using your data
4. Third-Party Services (Data Processors)
When you submit our contact form, your data is processed by Web3Forms (web3forms.com), a third-party form delivery service. Web3Forms acts as a data processor on our behalf — they transmit your submission to our inbox and store it temporarily on their servers. You can review their privacy policy at web3forms.com/privacy.
We do not use any other third-party services that process your personal data.
5. How Long We Keep Your Information
Form submission records (stored by Web3Forms on our behalf) are automatically and permanently deleted after 3 years from the date of submission. This is handled automatically — no manual action is required.
Email correspondence (the inquiry emails delivered to our inbox) is retained as business correspondence for as long as it remains relevant to an active or potential client relationship. We do not bulk-delete emails on a fixed schedule.
If you would like your data deleted sooner, you may submit a right to erasure request (see Section 7). Upon receiving a valid request, we will delete your specific email threads from our inbox and instruct Web3Forms to remove your submission record.
6. How We Protect Your Information
All data submitted through our contact form is transmitted over an encrypted HTTPS connection. Access to received inquiries is restricted to authorised Vance Media team members only. We do not store your data on any public or shared servers beyond the services described in Section 4.
7. Your Rights
Under the NDPR (and UK/EU GDPR for international visitors), you have the following rights:
- Right of access — request a copy of the information we hold about you
- Right to rectification — ask us to correct inaccurate data
- Right to erasure — ask us to delete your data; we will remove it from our inbox and request deletion from Web3Forms
- Right to restrict processing — ask us to limit how we use your data
- Right to data portability — request your data in a portable format
- Right to object — object to processing based on legitimate interest
To exercise any of these rights, email us at enquiries@vancemedia.net with the subject line “Data Request”. We will respond within 30 days.
8. Children's Privacy
Our Site is intended for business use and is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has submitted information through our Site, please contact us immediately.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Continued use of the Site after changes constitutes your acceptance of the updated policy.
